WizBI Privacy Policy

This is an English translation of the Hebrew privacy policy. If there is any inconsistency between the two, the Hebrew version prevails.

1. Who we are and what this policy covers

1.1. WIZBI AI LTD (וויזבי בינה מלאכותית בע״מ), company number 517297677, 23 Shir HaShirim St., Moshav Berechya, Israel (“WizBI”, “we”), operates WizBI’s websites, products, agents and conversation channels (the “Service”).

1.2. This policy applies to information we collect as the database controller: website visitors, people who sign up, users, contact persons at customers and suppliers, people who contact us and job applicants, and data about the use of the Service.

1.3. Information that a business customer uploads to, or connects with, the Service (for example ERP data, files, employees’ conversations with the agent) is processed by us as a holder on behalf of that customer, according to its instructions and the data processing agreement with it. For that information, the customer is the controller, and requests about it should be directed to the customer. We will forward to the customer any such request that reaches us.

3. What information we collect

3.1. Information you provide: name, phone number, e-mail address, role, organisation; billing details (credit card details are provided directly to the payment processor); the content of inquiries, messages, questions, files and recordings that you send to the Service or to the agent; feedback and ratings.

3.2. Information generated through use: IP address, device identifiers, browser and operating system, session and visitor identifiers, approximate location based on IP address, pages and screens, clicks, scrolling and typing in the interface (session recording), times, referral source and campaign parameters, calls to the agent and to tools, response times, errors and costs, and security logs.

3.3. Information from channels: phone number, display name and profile picture on WhatsApp or Telegram; user identifiers on Slack, Teams and Google; and, in groups, messages from members of a group in which the agent is active.

3.4. Information from third parties: from sign-in providers (Google, Microsoft), from advertising and measurement platforms, from public sources and government registries (regarding corporations), from whoever referred you to us, and from the business customer that added you as a user.

5. Cookies and measurement tools

5.1. We use cookies and similar technologies in two layers: (a) essential and operational ones, without which the Service will not work (sign-in, security, preferences), and basic analytics of the Service; (b) marketing, session recording and advertising (such as PostHog, Google Analytics, Meta Pixel and the Conversions API), which are loaded only after you consent in the banner, insofar as the law requires such consent.

5.2. You can change your preferences at any time in your browser settings.

6. Who we share information with

6.1. Sub-processors that process information on our behalf, under confidentiality and security obligations: cloud (Google Cloud), artificial intelligence models (Google), messaging channels (Meta/WhatsApp, Twilio, Slack, Microsoft, Telegram), analytics (PostHog, Google), e-mail, payment processing and bookkeeping. The current list: wizbi.ai/legal/subprocessors.

6.2. Your business customer: if you use the Service on behalf of an organisation, the organisation’s administrators can see your activity in the organisation’s account, according to its settings.

6.3. Advertising platforms: encrypted identifiers and conversion events, with consent where the law requires it.

6.4. Advisers, authorities and proceedings: where the law requires it, under a court order, or where necessary to protect our rights, users or the public.

6.5. Transfer of business: in a merger, acquisition or sale of business, the information will be transferred to the acquirer, who will be bound by this policy.

6.6. We do not sell identifiable personal information. Aggregate information that does not identify a person is not personal information, and we may use and share it.

7. Transfers outside Israel

Information is stored and processed in Israel, in the European Union and in the United States, and at global endpoints of model providers. Transfers to the European Union are made under Regulation 2(8) of the Privacy Protection (Transfer of Data to Databases Abroad) Regulations; transfers to the United States and other countries are made under Regulation 2(4), on the basis of the recipient’s written undertaking to protect the information, and, for information from the European Economic Area, also under the Data Privacy Framework or standard contractual clauses.

8. Artificial intelligence

8.1. Our agents are based on third-party models. Messages, questions, files and recordings that you send to the agent are passed to the model in order to respond.

8.2. The model providers are used under commercial settings in which, according to their terms, the information is not used to train their models. We may use conversations and usage data to improve our own Service (instructions, skills, routing and quality control), and we do not train a foundation model on identifiable information.

8.3. We do not use AI to make decisions that have a legal effect on you without human involvement.

9. Your rights

9.1. Access: to receive the information about you that is held in our databases (Section 13 of the Law).

9.2. Correction and deletion: to ask us to correct or delete information that is not correct, complete, clear or up to date (Section 14), and to request deletion of an account.

9.3. Direct marketing: to remove yourself from mailings at any time, using the unsubscribe link, by sending the word “הסר” (“remove”) in the conversation channel, or by contacting us.

9.4. Users in the European Economic Area and in Brazil: also the rights under the GDPR or the LGPD, including restriction, portability and objection.

9.5. How: privacy@wizbi.ai, with identifying details. We will respond within 30 days. We may ask to verify your identity. If the request concerns information of a business customer, we will forward it to that customer.

10. How long we keep information

For as long as the account is active, and after that for up to 7 years from the date the information was created, for record-keeping, security, evidence and legal protection purposes (the limitation period and record-keeping obligations in Israel). Aggregate information that does not identify a person is kept without time limit. Information needed to investigate a claim or proceeding is kept until it ends.

11. Security

We apply customary security measures, including encryption in transit and at rest, separation between organisations, access control, logs and monitoring, and an information security management system certified to ISO/IEC 27001. No security is perfect, and we cannot guarantee that an incident will not occur. We will give notice of a serious incident as required by law.

12. Minors

The Service is not intended for anyone under the age of 18, and we do not knowingly collect information about them.

13. Changes

We may update this policy. A material change will be published on the website and sent to registered customers before it takes effect. The date of the update appears at the top of the policy.
